Case Study – Streamlining collections and reducing outstanding balances

The Business Advisory and Accounting team helped an international hotel chain streamline collections for monthly retirement plan contributions.

Our client needed a more efficient way to coordinate and manage contributions from more than 200 participating hotels worldwide.

Challenge

The process for collecting and monitoring monthly retirement plan contributions was time-consuming and resource-intensive. They wanted to improve visibility, reduce manual effort and make it easier to manage outstanding balances across a large international hotel network.

Approach

The Business Advisory and Accounting team provided accounts receivable support and developed a practical walk-through prototype for the client’s Rewards team. The solution was designed to improve controls, support seamless data integration and create a simpler, more consistent process for tracking and managing contributions.

Outcome

The prototype remains at the heart of Crowe’s work with this client seven years on. Regular briefings on unpaid balances, which previously took more than an hour, now take just a few minutes. The streamlined process also helped reduce month-end outstanding contributions from more than $400,000 to around $80,000 pre-pandemic.

Client feedback

“Crowe UK took a highly tedious, resource-heavy, and error-prone task and developed a professional, creative, turnkey solution that allowed our team to shift our focus to efforts that would add value to the organisation. We are deeply appreciative of the partnership that has evolved and the continued level of care they have shown our colleagues around the world in supporting this program.”
