Crowe Soberman LLP is one of Canada’s largest full service medium-sized public accounting firms. We have an exciting opportunity for a high performing, dedicated Administrative Assistant who will be responsible for a broad range of administration duties for our Valuations | Forensics | Litigation department. 

Major Duties and Responsibilities:

  • Administrative support, including legal document preparation using a variety of software (letters, memos, affidavits, etc.) from handwritten copy, shorthand, and machine dictations using computers;
  • Quality review (accuracy, completeness, appearance) of outgoing correspondence to ensure compliance with legal procedures and grammatical usage;
  • Open and distribute regular and electronic incoming mail and other material, coordinate the flow of information internally and with other departments;
  • Ensure complete confidentiality when dealing with sensitive documents and issues;
  • Ability to prepare and follow up with work in progress and full cycle of invoicing;
  • Maintenance of various databases, Library (updating publications, etc.), & subscriptions/publications (update as required);
  • Set up and maintain filing systems, utilizing knowledge of legal records and controlling confidential matters and documents;
  • Emailing, faxing, photocopying, scanning documents and emailing to clients, etc. (as required);
  • Organize and coordinate schedules, including booking internal/external meetings, registering staff for courses, seminars, conferences;
  • Assist in training staff in procedures and in the use of current software (as required);
  • Other administrative duties as assigned.

Qualifications:

  • Ability to take initiative;
  • Well organized, detail-oriented, and self-motivated with strong prioritizing and follow-up skills;
  • Proven editing and proof-reading skills;
  • Excellent verbal and written communication skills;
  • High energy and enthusiasm;
  • Ability to work independently and as part of a team with input from many stakeholders;
  • Ability to work effectively in a deadline-driven environment;
  • Available to work moderate overtime.

Education and/or Experience:

  • Formal administrative training is an asset but other educational backgrounds will be considered;
  • Must have minimum 3 years’ experience dealing with senior level executives in a professional services firm.

Computer Skills:

  • Ability to learn software programs (i.e., Dynamics, Divorcemate, etc.)
  • To perform this job successfully, an individual should have working knowledge and experience in Microsoft Word, Outlook, and Power Point and strong Excel skills.
